Xavier-HiBob Integration Guide
This guide will walk you through integrating Xavier's employee screening software with HiBob's HR platform. The integration allows for data transfer of employee data and screening information for a seamless workflow.
Overview
The Xavier-HiBob integration enables automatic data transfer, custom field creation, and streamlined employee screening workflows. This integration requires administrative access to HiBob platform and your Xavier account set up. To set up your Xavier account follow this link https://xavier.eurocomci.co.uk/registration/1 and let us know on info@eurocomci.co.uk which screening you need for your employees.
Prerequisites
Before beginning the integration process, ensure you have:
Administrative access to your HiBob account
Set up your Xavier account and chosen your screening package
Understanding of your organization's employee lifecycle processes
Appropriate permissions to create custom fields and webhooks
Integration Steps
Step 1: Create Custom Folder
The first step involves setting up a dedicated screening folder within HiBob to organize employee screening documentation.
Navigate to your HiBob Docs> People’s folders> Add new
Create a new custom folder named "Screening folder"
Configure the folder with a filter that checks for lifecycle existence
This folder will be added to all employees and it is where the final screening report will be sent alongside all the supporting documents
Step 2: Create Service User
A dedicated service user account is required to facilitate the integration between Xavier and HiBob.
Navigate to your HiBob System Settings>Integrations>Service Users>Manage>Create Service User
Give it a Display name - Eurocom
This will create an ID and a Token which needs to be copied and provided to Eurocom
Click on ‘Go to permission groups’ to set up new permissions for this service user
Step 3: Create Custom Permissions
Navigate to your HiBob System Settings> Account> Permission groups>Create permission group>Service user
Name the Permission Group Eurocom and select the service user set up in the previous step.
Add the following permissions
Features Permissions:
Settings → Employee Fields → Manage Employee Field Settings
Enables automatic custom field creation for screening data
People's Data Permissions:
Screening Folder (the folder created in the previous step →All four items
Allows Xavier to upload screening documents directly to the designated folder
People → About → All four items
Provides access to employee profile information
People → Basic info → All three items
Enables viewing of fundamental employee details
People → Personal → All three items
Grants access to personal employee information
People → Personal → All four items
Allows viewing of personal contact information
People → User data → All three items
Gants access to user-specific data fields
People → Work →All three items
Enables viewing of work-related employee data
People → Work contact details → All three items
Provides access to work-related contact information
Step 4: Create Webhook
The final step involves setting up a webhook to enable real-time data synchronization between Xavier and HiBob.
Navigate to your HiBob System Settings>Integrations>Webhooks>Manage>Add webhook
Name the Webhook - Eurocom
Enter the endpoint provided by Eurocom to connect your Xavier account to HiBob
Select the event trigger - the example provided is when an employee is created, but this can be anything you choose
Provide the secret key of the webhook to eurocom
Post-Integration Testing
After completing all four steps:
Let Eurocom know that the HiBob side is complete.
Provide Eurocom the Service user ID and token
Provide Eurocom the Webhook secret
Eurocom will comfirm when the set up is complete from Xavier side
